Responsibilities

Summary:

The Scheduling and Support Coordinator provides the Collections departments with staff scheduling and administrative assistance by coordinating Collections team schedules in Hemasphere, Collections team payroll in Kronos, maintaining departmental documents, performing data entry, and tracking/trending requested data. This position also services as administrator for customer service tracking and assists Blood Operations leadership with administrative duties as assigned.  On a regular basis, the Coordinator will serve as backup to other Blood Operations roles.

 

 

1. Administrative & Operational Support

  • Provide administrative support to department leadership and operational teams.
  • Prepare and maintain work schedules in advance, adjust coverage for callouts, and make real‑time staffing changes to meet business needs.
  • Collaborate with internal partners to support planning and coordination for future operational events and activities.
  • Assist leadership with meeting coordination, including scheduling, invitations, agendas, materials, room setup/breakdown, attendance tracking, and follow‑up.
  • Order equipment, supplies, and documents needed to support daily operations.

2. Payroll & Timekeeping Support

  • Review employee timecards and mileage entries for accuracy and completeness prior to manager approval.
  • Monitor timekeeping records, including overtime, holidays, and pay exceptions, and coordinate corrections when necessary.
  • Communicate with team members regarding timekeeping discrepancies and compensation‑related questions.

3. Scheduling, Leave & Attendance

  • Maintain vacation and time‑off calendars to ensure appropriate staffing coverage while supporting employee work‑life balance.
  • Track leave of absence usage, attendance issues, and late occurrences, making schedule adjustments as needed—often on short notice.
  • Maintain accurate records related to attendance and leave activity.

4. Communciation, Documentation & Reporting

  • Maintain departmental documents, spreadsheets, rosters, and contact lists.
  • Draft and distribute memos, newsletters, and email communications to keep team members informed.
  • Track performance metrics and trends and assist leadership with data reporting and analysis.
  • Support continuous improvement efforts by organizing data and identifying operational patterns.

 

The hourly range for this position is $20.00 - $22.00/hr

Qualifications

Education:

High School diploma or equivalent required.

 

Experience:

1 year experience in an administrative role or support function

 

Other:

Valid driver's license.

 

Proficiency with scheduling, timekeeping, and standard office software.

Strong organizational and time‑management skills with attention to detail.
Ability to handle confidential and sensitive information professionally.

Any combination of education, training and experience that has supplied the necessary knowledge, skills, and experience to perform the essential functions of the job.
